ADMINISTRATIVE COORDINATOR
Administrative Coordinator is a full-time administrative position within the Northern California Community Loan Fund. This position ensures the smooth flow of all office functions, is the primary office receptionist and provides overall administrative support for all departments in the organization. This position reports to the Director of Finance & Administration and works closely with the Executive Assistant.

Backround
The Northern California Community Loan Fund (NCCLF) was founded in 1987 to create a socially responsible investment vehicle to provide capital and expertise to revitalize low-income communities. NCCLF has grown into a $32 million intermediary nonprofit organization that provides loans, technical assistance, and grants to groups that develop low-income housing, community facilities, essential health and human services, nonprofit enterprises, and solutions to the critical issues facing the nonprofit sector.

Responsibilities

  • Office Administration Tasks: Maintain all regular office functions and ongoing vendor relationships; monitor services received; work within approved budgets; order equipment and supplies; insure that office equipment is in good working order; order stationary and business cards; maintain a neat and organized office; keep up organizational calendar and meeting scheduling; photocopying; faxing; file system; meeting arrangements; travel/hotel arrangements as needed; develop and update office and administrative procedures.

  • Reception: answer phones; greet visitors, respond to inquiries; route calls appropriately; prepare outgoing mail, receive and send envelopes/packages; open all mail and record incoming checks manually into journal; maintain reception area.

  • Correspondence: manage routine correspondence and special mailings; mail merge from Excel and CRM programs.

  • Physical Plant: keep keys and handle overall office space management; ensure operation and regular upkeep of organizational telephone and voice mail systems; coordinate with IT staff and outside vendors as needed.

  • Filing: maintain both program and administrative files as well as organizational archives

  • Backup Executive Assistance: may include occasional minutes-taking at Board or committee meetings, provide backup to Executive/Program Assistant and organization President.

  • Database Management: use CRM program for contact management; insure that information is current; enter notes and changes as appropriate.

  • Human Resource Tasks: maintain compliance regulations and posted notices; perform personnel orientation in administrative practices and systems for new employees; assist with benefit enrollment.

  • Special Projects: Assist staff with special projects, including producing PowerPoint presentation slides; soliciting client feedback, evaluating ongoing systems and office needs; developing estimates of administrative expenses and additional duties as required.

    Required Qualifications
  • High level of expertise with MS Office word processing, spreadsheet, and database software – WORD, Excel, and Access.

  • Minimum one year experience with office administration and management.

  • Attention to detail.

  • Ability to work independently and take initiative.

  • Ability to manage multiple tasks simultaneously and under tight deadlines.

  • Excellent written and verbal communication skills; ability to clearly and comfortably communicate with diverse public contacts.

  • Enthusiasm and commitment to work in community development.

  • Ability to work with grace under pressure; a sense of humor is essential.


    Hours and Location:
    Full time position, Monday through Friday, 9:00 a.m. to 5:00 p.m. Occasional evening or weekend hours may be required.

    NCCLF offices located in downtown San Francisco

    Compensation and Benefits:
    Salary range is $36,000 to $42,000 plus an excellent benefits package including health, dental, retirement plan, three weeks vacation, and regular access to professional development.

  • NONPROFIT FACILITIES CONSULTANT
    The Nonprofit Facilities Consultant will work with the Director of Consulting and Grant Programs to direct and coordinate all aspects of NCCLF’s technical assistance programs related to nonprofit facilities (NCCLF's "Facility Fitness" program). The goal of this program is to increase the capacity of nonprofit organizations to lease, purchase, and/or operate their facilities and to enable management teams and boards to make timely and effective facility decisions that will support organizational success and stability. The Nonprofit Facility Consultant will work with organizations to prepare them to take on facility and asset management projects.

    Background
    The Northern California Community Loan Fund’s Facility Fitness program provides practical, technical assistance and training to nonprofits serving low-income communities in the Bay Area and throughout Northern California. NCCLF provides loans for facilities, affordable housing and working capital. We also work to match nonprofit organizations that have program space with those who need space. Through facilitated workshops and customized consulting engagements, the Fiscal Fitness and Facility Fitness programs help organizations to strategically shape their fiscal systems and facilities to better serve their clients and the community as a whole.

    All organizations spend a consistent portion of their operating budget on facilities to support their programs. NCCLF works with organizations to build tools and strategies that better match their programmatic needs to their facility expenditures. Our work ranges from conceptual feasibility of new facility projects and support during selection of the development team, to assessment of property operations and asset management. Focal areas for our work include performing arts facilities, mixed-use development and facilities for organizations that serve low income communities in Northern California.

    Primary Responsibilities
    Client Services
    • Work with clients to determine conceptual feasibility of their facility projects.
    • Work with clients to assess their Facility Fitness and outline work needed to take on facility projects.
    • Work with clients to assess their asset management options.
    • Work with CGP Director and Program Associate to develop and implement new Facility Fitness workshops.
    • Collaborate with strategic partners to integrate Facility Fitness training into comprehensive capacity building programs.
    • Work with CGP Director to identify strategic partners for collaboration.
    • Measure and track results of consulting engagements.

    Program Management & Administration
    • Conduct on-going “best practices” research and document results for the benefit of Facility Fitness clients.
    • Work with staff to maintain NCCLF consultant referral network.
    • Attend staff meetings and work with NCCLF staff to coordinate Facility Fitness program with other organizational programs.
    • Work with Program Associate to create facility development related content for Orgspaces.org.

    Minimum Requirements
    • 5+ years experience with development of affordable housing and/or facilities for nonprofit organizations.
    • Ability to design and build financial analysis models for Real Estate.
    • Masters Degree in a related field.
    • Valid California Drivers License for required driving.
    • Ability to conduct site visits for potential facility projects.

    Desired Qualifications, Skills & Experience
    • Candidate should have experience with nonprofit facility development and management and possess an ability to teach nonprofit facility development practices in classroom as well as small group situations.
    • Familiarity with commercial tenant improvement construction practices.
    • Familiarity with commercial Real Estate brokerage practices.
    • Great sense of humor.
    • Unflappable under pressure.

    Compensation and Benefits
    Starting salary is $58,000-$62,000 depending on experience, plus an excellent benefits package including health, dental, retirement plan and three weeks vacation.
